AI receptionist / HVAC

An AI receptionist for HVAC.
Built for the first hot week.

HVAC calls arrive in waves. The first heatwave or cold snap fills the phone while every tech is already on a job. An AI receptionist can take the routine requests in that wave, ask the questions that sort urgent from not, and put the urgent ones in front of your on-call tech.

Calls it meets

Four HVAC calls,
and who takes each one.

These are the calls a pilot is planned around. For each one: what the receptionist asks and records, and the point where a person takes over.

7:40 pm, office closed

No cooling, vulnerable occupant

The receptionist
Asks whether anyone at the property is elderly, unwell or very young, and confirms the address and callback number.
Then
Marked urgent and sent straight to the on-call tech, as in the sample call below.
Tuesday morning, both techs out

Spring tune-up request

The receptionist
Takes the equipment type, approximate age, address and preferred days for a maintenance visit.
Then
Lands in the office queue as a request. Nobody is promised a time until dispatch confirms one.
Saturday afternoon

Replacement quote

The receptionist
Notes the system age, the reason for replacing, the property type and whether the caller wants an in-home estimate.
Then
Goes to whoever runs estimates. Pricing questions are left for them.
During a busy week

Existing customer, repeat fault

The receptionist
Recognises the caller as existing if they say so, records which visit they are calling about and what has happened since.
Then
Flagged for the tech who did the last visit or the service manager.

Tether / Sample conversation

See how Tether
would answer your call.

A sample conversation, written by us, showing how Tether, the MoxiSync AI receptionist, could handle a call you would otherwise miss and what your team would receive. It is not a recording or a live agent. Tether is offered through guided pilots that are scoped and tested with each business.

Tuesday, 7:40 pm · the office is closed

  1. Tether · AI receptionist

Thanks for calling. The team is out on jobs right now, so I'm taking calls for them. How can I help?

  2. Caller

Our air conditioning stopped blowing cold this afternoon. It's really hot upstairs.

  3. Tether · AI receptionist

Sorry to hear that. Is this your home or a business, and is anyone at the property who's vulnerable to the heat?

  4. Caller

It's our home. My mom lives with us and she's eighty-two.

  5. Tether · AI receptionist

Thank you. I'm marking this as urgent and passing it to the on-call technician now. Can I confirm the best number to reach you?

Tether: Thank you. I'm marking this as urgent and passing it to the on-call technician now. Can I confirm the best number to reach you? Outcome: Urgent callback sent to the on-call tech: AC not cooling

OutcomeUrgent callback sent to the on-call tech: AC not cooling
  • Urgent
  • No cooling
  • Elderly occupant
  • Callback number confirmed
  • Sent to on-call tech
Illustrative. In a pilot, what Tether records and who it alerts are agreed and tested with you first. It only books appointments where a tested booking connection is in place.

How Tether pilots work ↗

Boundaries

What it takes on.
What it never does alone.

A pilot starts by writing these lists down with you. They are a starting point for HVAC companies, not a fixed product.

Suits a pilot

  • Maintenance and tune-up requests
  • Installation and replacement enquiries
  • Hours, service area and brands you service
  • After-hours intake when the office is closed

Always a person

  • No heat or no cooling with a vulnerable occupant
  • Gas smell or carbon monoxide alarm: advise leaving and calling the gas company or 911 first
  • Billing disputes and warranty arguments
  • Anyone who asks for a person

What your team receives

  • Name and callback number
  • Service address
  • System type and symptom
  • Urgency and who is at the property
  • Preferred time window

Answering service for contractors

An answering service,
or an AI receptionist?

A staffed answering service suits HVAC companies whose after-hours calls are mostly emergencies that need a calm human voice. An AI receptionist suits the routine calls in between: it asks the same HVAC questions every time and sends a structured request to you or your office, and it hands the emergencies to a person. Many contractors use one for each. See the full comparison.

How a pilot works

One call type first.
Your old route stays.

Setup is quoted in a written scope. Voice usage is billed by use and priced separately. Nothing goes live until test calls pass.

01

Pick the call

Usually maintenance and tune-up requests, or another routine request your team knows well.

02

Write the limits

The approved answers, the calls that go to a person and the fallback if nobody picks up.

03

Test it

Authorized test calls, including interruptions, odd questions and failed transfers.

04

Review together

Look at real requests and handoffs, then adjust, pause or expand.

Common questions

HVAC AI receptionist,
answered.

Can it dispatch a technician?

Not by itself. It can send an urgent request to the on-call tech by text or call, if that route is set up and tested in your pilot. A person decides who goes and when.

What about a gas smell or a carbon monoxide alarm?

The receptionist is set up to tell the caller to leave the building and contact the gas company or 911, then pass the call to a person. It does not try to troubleshoot.

Can it quote a price for a new system?

No. It collects what the estimator needs and leaves pricing to them. If you publish a diagnostic or call-out fee, it can repeat that approved figure.

How much does an AI receptionist cost for HVAC companies?

It is quoted per pilot. One-off setup covers the call flow, approved answers and handoff. Voice usage (telephone minutes, speech and model processing, number rental) is billed by use and priced separately, and depends on how many calls it takes and how long they last.

Is Tether available now?

Tether, the MoxiSync receptionist, is in development and offered through guided early-access pilots. There is no public live calling or self-service signup, and availability depends on your region and phone routing.
