Start from an industry

Defaults are conservative and sourced where a usable source exists. Where none does, they are marked as our estimate. Each field shows where its default comes from.

All calls to your business number, answered or not. Your phone system or carrier portal shows this.

HVAC default 60: MoxiSync estimate. Example volume of 60 inbound calls a week for a small, owner-led business. Replace it with your own phone log.

Rang out, went to voicemail or hung up waiting, including after hours.

= 16.2 missed calls a week

HVAC default 27%: Invoca (2022), as cited by The Open University's OpenLearn Create. Around 27% of calls to home-service companies go unanswered. Vendor-sourced; we use it as stated rather than the higher 62% figure often repeated online.

Leave out existing customers, suppliers, sales calls and wrong numbers.

HVAC default 45%: MoxiSync estimate. Under half of missed calls are new customers; the rest are existing customers, suppliers and sales calls.

They don't call back, or they book someone else.

HVAC default 50%: MoxiSync estimate. Half of missed new callers never reach you again. Lower than the ~85% 'don't call back after voicemail' figure attributed to Dialzara (2023), because we could not verify that study.

Of new callers you do speak to, how many become a booked job or appointment.

HVAC default 50%: MoxiSync estimate. Half of new repair enquiries you speak to become a booked job.

Typical first-job or first-visit revenue, before any repeat work.

HVAC default $350: Angi / HomeAdvisor HVAC repair cost guide (2025 data). National average HVAC repair of about $350 (typical range $100–$3,000). Uses a repair, not a system replacement, so it stays conservative.

  1. Tether · AI receptionist

Thanks for calling. The team is out on jobs right now, so I'm taking calls for them. How can I help?

  2. Caller

Our air conditioning stopped blowing cold this afternoon. It's really hot upstairs.

  3. Tether · AI receptionist

Sorry to hear that. Is this your home or a business, and is anyone at the property who's vulnerable to the heat?

  4. Caller

It's our home. My mom lives with us and she's eighty-two.

  5. Tether · AI receptionist

Thank you. I'm marking this as urgent and passing it to the on-call technician now. Can I confirm the best number to reach you?

Tether: Thank you. I'm marking this as urgent and passing it to the on-call technician now. Can I confirm the best number to reach you? Outcome: Urgent callback sent to the on-call tech: AC not cooling

Illustrative. In a pilot, what Tether records and who it alerts are agreed and tested with you first. It only books appointments where a tested booking connection is in place.

Before you trust the number

How to count your
missed calls.

A week or two of real records beats any estimate. These sources are usually already available to you.

01

Phone system logs

Most business phone systems and carrier portals list missed or unanswered calls. Export one or two normal weeks and remove duplicate calls from the same number.

02

Voicemail

Count voicemails left, then remember that many callers hang up without leaving one. Voicemail alone usually undercounts missed calls.

03

Call tracking

If you use tracking numbers for ads or your website, their reports show missed calls by source and time of day, including after hours.

04

Sort the callers

Mark each missed number as new enquiry, existing customer or other. That gives you your own percentage instead of a guess.

What to do next

Ways to recover
missed calls.

Start with the simplest fix that closes the gap. Results depend on your callers and your follow-up; none of these guarantees recovered work.

Callback rules

Agree who returns missed calls, how quickly, and how a returned call is marked done, so nothing depends on memory.

Missed-call text-back

An automatic text after a missed call lets the caller reply with their request instead of trying the next business.

Website click-to-call and forms

Make the phone number tappable on mobile and give people a short form when calling is not convenient for them.

After-hours handling

Decide what happens at night and at weekends: urgent calls to an on-call person, routine requests captured for the morning.

Common questions

About the
calculator.

How do you calculate the cost of missed calls?

Weekly calls × the share you miss gives missed calls. Multiply by the share who are new customers, the share who never call back, and your booking rate to get lost jobs. Multiply by your average first-job value for lost revenue, then by 12 for a year.

Are the industry defaults real statistics?

Some are. Job values come from Angi, HomeAdvisor and ASPS cost data, and missed-call rates from Invoca and Dental Economics. Others, like booking rates, are our own conservative estimates and are labelled that way. Your own phone log will always beat a default.

What does 'answer 80% of them' mean?

It is a what-if. It shows how much of the yearly loss you would keep if 80% of the calls you miss today reached someone and booked at your usual rate. Move the slider to try other answer rates.
