Providers in treatment
Injectors and aestheticians can't stop a treatment to answer the phone.

Free tool / Med spa
Med spa callers often start with a price question and book with the first clinic that gives them a clear answer. Injectors are with clients, so the phone often goes to the front desk or to voicemail. The default here is a single neurotoxin treatment, not a client's yearly spend, so it understates what a regular client is worth.
Run your numbersWorked example
An example med spa taking 80 calls a week, using the sourced defaults below. If it answered 80% of the calls it misses, it would keep about $28,954 of that a year. Your numbers will differ, so run your own below.
| Step | Result |
|---|---|
| 80 calls a week × 25% missed | 20 missed calls a week |
| × 52 weeks | 1,040 missed calls a year |
| × 40% new customers | 416 new callers |
| × 50% who never reach you again | 208 lost enquiries |
| × 40% booking rate | 83.2 treatments |
| × $435 each | $36,192 a year |

Why it happens
Injectors and aestheticians can't stop a treatment to answer the phone.
Many new clients look up treatments in the evening and call when the clinic is closed.
"How much is Botox?" calls are short but frequent. A caller who doesn't get an answer simply calls the next clinic.

Tether / Sample conversation
A sample conversation, written by us, showing how Tether, the MoxiSync AI receptionist, could handle a call you would otherwise miss and what your team would receive. It is not a recording or a live agent. Tether is offered through guided pilots that are scoped and tested with each business.
Friday, 6:20 pm · the clinic closed at six
Thanks for calling. The clinic is closed for the evening, but I can take a request for the team. What are you interested in?
I was wondering how much Botox costs, and whether you have anything next week.
Pricing depends on the treatment area and is confirmed at your consultation. I can ask the team to call you with prices and times. Have you had treatment with us before?
No, it'd be my first time. Afternoons are better for me.
Thank you. I've noted a new client asking about neurotoxin pricing, with afternoons next week preferred. The team will call you tomorrow to confirm.
Tether: Thank you. I've noted a new client asking about neurotoxin pricing, with afternoons next week preferred. The team will call you tomorrow to confirm. Outcome: New-client request: neurotoxin pricing, afternoons next week
Where the defaults come from
We picked the conservative end of every range. Most published missed-call figures come from companies that sell answering services, so we say when a number is one of those, or our own estimate.
| Default | Value | Basis |
|---|---|---|
| Calls a week | 80 a week | MoxiSync estimate. Example volume of 80 inbound calls a week for a small, owner-led business. Replace it with your own phone log. |
| Missed-call rate | 25% | MoxiSync estimate. We found no independent study of med spa missed-call rates; vendor blogs assume 28–41% without sources. We use 25%. |
| New-customer share | 40% | MoxiSync estimate. Four in ten missed calls are new clients; the rest are rebookings and existing clients. |
| Never call back | 50% | MoxiSync estimate. Half of missed new callers never reach you again. Lower than the ~85% 'don't call back after voicemail' figure attributed to Dialzara (2023), because we could not verify that study. |
| Booking rate | 40% | MoxiSync estimate. Four in ten new enquiries book a first treatment, since many start with a price question. |
| Average first job | $435 | American Society of Plastic Surgeons, neurotoxin cost statistics. Average fee of $435 for a neurotoxin (Botox-type) treatment, the most common med spa service. Uses one treatment, not a client's yearly spend. |
