Every practice has patients with no future appointment who are quietly drifting away. Drop a patient list export to see who is past their recall date, how long they've been gone and which households to call first. The file is processed only on this computer.

A synthetic dental list of 650 patients and 2,663 recall visits, run on November 1, 2026 with a 6-month interval. 66% are past due. If 8% of them booked one recall visit at the median value of $229, that would be about $7,823. Your list will differ, so try your own below.
| Segment | Patients | Lifetime value | Estimated reactivation |
|---|---|---|---|
| Due in the next 30 days | 18 | $18,148 | Reminder, not counted |
| Overdue up to 3 months | 69 | $64,157 | $1,264 |
| Overdue 3–6 months | 51 | $50,208 | $934 |
| Overdue 6–12 months | 97 | $90,199 | $1,777 |
| Overdue 1–2 years | 151 | $140,385 | $2,766 |
| Lapsed 2+ years | 59 | $54,454 | $1,081 |
| Not due yet | 205 | $188,720 | – |
| All overdue | 427 | $399,403 | 427 × 8% × $229 = $7,823 |
Synthetic data: invented names and recall visit values between $140 and $310. It shows how the finder works, not what a typical dental business has. Overdue patients hold $399,403 of the list's $606,271 lifetime value.
Finder
It starts on the dental settings. Your file is read only in this browser.
Your list never leaves this browser. The file is read and analysed on your device. Nothing from it is uploaded, stored or sent to analytics. You can check: open your browser's developer tools, go to the Network tab, then drop a file. No request carries your data.
The sample is synthetic: invented names, 555-01xx phone numbers and example.com emails.
Why it happens
Patients who leave without booking their next hygiene visit are the most likely to lapse.
Recall reports exist in most practice software, but front-desk time goes to the patients in the chair.
Some patients still want to come back but need a reason and an easy way to book.
A cancelled visit that isn't rebooked the same day often becomes a lapsed patient.
Getting the file
Menus change between versions, so treat these as pointers and check your software's help pages for current steps.
Run a patient list or recall report that includes patient name, phone, email and last visit date, then export or save it as a CSV or Excel file. Layouts vary by version.
Use a report or a saved query that returns PatNum, LName, FName, WirelessPhone, Email and DateLastVisit (or the last completed procedure date), then export it to CSV or Excel.
Where the defaults come from
Each default either links to its source or is marked as our estimate. Change any of them in the tool. Your own prices and recall rules beat any default.
| Business | Interval | Value of a visit |
|---|---|---|
| Dental | 6 months. Common recall interval; the ADA says visit frequency should be set by the dentist for each patient | $200, used only when your file has no amounts. MoxiSync estimate. Change it to your own price. |
| Response rate | 8% of overdue people booking again. This is a deliberately low MoxiSync estimate, not a published benchmark. Vendor case studies report a wide range, and your result depends on consent, list age and follow-up speed. | |
Common questions
The file is read only in your browser and is never uploaded to MoxiSync or anyone else. You can confirm this in your browser's Network tab. Still follow your practice's own policies for exporting patient lists, and delete exports when you're done.
It is the most common hygiene recall interval. The right interval is set by the dentist for each patient. For perio-maintenance patients on 3- or 4-month recalls, run the finder again with that interval, or sort the CSV by service type.
Keep it short and free of treatment details: who you are, that they're due for a visit, and how to book. Only text patients who agreed to receive texts, and include an opt-out.
